Refunds & cancellations

Scope

This policy applies to fees and deposits for Ai Automationhub engagements: external auditor collaboration, audit readiness reviews, and working-paper / PBC support. It does not cover products, subscriptions, or goods we do not sell.

Deposit to reserve a fieldwork window

When a deposit is paid to hold dates aligned with your auditor’s visit, it is credited toward the final fee if the engagement proceeds.

Cancellation by the client

• More than 14 days before the agreed kickoff date: full refund of unused fees and deposits, less any documented third-party costs already incurred with your approval (for example, specialised courier of confirmations).
• 7–14 days before kickoff: 50% of the deposit may be retained; remaining prepaid fees for work not started are refunded.
• Fewer than 7 days before kickoff, or after kickoff has begun: deposits are non-refundable; fees for work already performed are payable on a time-and-materials or completed-milestone basis as stated in the engagement letter.

Rescheduling

One reschedule with at least 7 days’ notice is usually accepted without penalty if our team and your auditor’s calendar can accommodate the change. Further reschedules may incur a rebooking fee disclosed in writing.

No-shows

If client contacts are unavailable for agreed on-site days without notice, that day may be billed as delivered. We will still attempt remote catch-up where useful.

Work already started

Time spent on document indexing, readiness memos, or fieldwork cover before cancellation is charged according to the engagement letter. Unused future phases are not billed.

Materials

We rarely purchase materials for these engagements. If you approve a specific purchase (for example, secure storage media), that cost is non-refundable once ordered.

Partial refunds

Where an engagement is narrowed mid-cycle by mutual agreement, unused future phases may be partially refunded or credited. Completed phases remain payable.

Refund method & timing

Approved refunds are returned by the original payment method within 14 business days of written approval. Bank processing times may add several days.

How to request a refund

Email info@ai-automationhub.digital with your engagement reference, reason, and preferred contact number. You may also call +852 3707 3888. We confirm receipt within two business days and state the outcome in writing.

Exceptions

Nothing in this policy limits rights that cannot be excluded under Hong Kong law. Engagement letters may set additional commercial terms for multi-entity programmes; where they conflict on timing, the signed letter prevails for that engagement.
